Help

Hello, and welcome to the help section of the eKiwanis Member Site. Hopefully you will find answers to all your questions here. Also, in the upper right corner of all pages there is a "Help" link that will link to the applicable part of this page.

The first thing to note is this site and its features are run by Access Levels. Different levels can do different things. This help page is the same. You will see see help for only those features which you have access to. Speaking of Access Levels...

Access Levels

This site is run by Access Levels with increasing priority. This means that a given Access Level also has access to all Levels below it. So an Officer also has access to the Director through World-Accessable Levels. The levels in order of increasing priority are:

Level Description
World-Accessable Anyone can access this feature. Even those not logged in.
Guest These are possible new members for our club. They have limited access, but can still sign up for events.
General Basic Access Level for all eKiwanis members.
Chair Person Access Level for those with Chair Positions.
Director Access Level for those on the Board of Directors.
Officer Access Level for Club Officers.
Administrator Highest Access Level; for Website Administrators.

Your current Access Level is World-Accessable.

Home Page

This is the home page for the Member Site. It contains a welcome and a recent updates list.

Login

This is the login page for the Member Site. You will be prompted for your Logon Name and password. If you have forgotten your password, any of the Adminstrators or Officers can reset it for you.

You can change your Logon Name in "Edit Your Account" (see Account Edit) and your password with "Change Your Password" (see Change Password).

Calendar

The calendar of events. You can click on an event link to show the details of the event (see Event Date Info) and sign-up for the event (if you have access, see Access Levels).

Event Organization

Events are organized in a three-tier system. These tiers are Category, Name, and Date.

Event Categories

This is the first tier of event organization. It is a general category for events.

Event Names

This is the second tier of event organization. It is the specific name of the event. This tier is used to make it easy to see if we have ever done a given event in the past. It also contains the event type, which determines how the event is tracked (by service hours or by attendance) and in what type category the event is tracked. Finally, you can enter an event description and location. Note the location is protected (see Access Levels).

Event Dates

This is the third tier of event organization. It contains the specific date of the event.

You can define an event owner in this tier. This owner has the ability to confirm the participants in the event and add/edit the minutes if this is a meeting event. For information on who can own an event and who can confirm any event, see Access Levels.

The event state is also defined in this tier. There are five states:

Event State Description
Tentative This is a tentative event. We are seeing which members can commit to coming to the event before we commit the club to the event. Note that tentative events will be enclosed in (parenthesis).
Sign-up Users can sign-up for this event.
Sign-up Closed This event hasn't happened yet, but users can no longer sign-up.
Event Completed (Confirmation pending) Users can no longer sign-up for an event and it needs to be confirmed.
Service Hours/Attendance Confirmed The service hours / attendance for this event has been confirmed.

If this event is a meeting, there will be a link to the minutes of the event. Note the minutes can only be added/viewed after the event moves out of the sign-up stage. See Event Minutes.

Finally, you can enter a date description and location. Note the location and minutes are protected (see Access Levels).

This is a listing of all event categories and the event names that belong to that category. There are links to the Event Category Info and Event Name Info Pages. Also see Event Organization.

This is a description of the event category. For more information, see Event Organization and Event Categories.

Event Name List

This is a listing of all event names categories and the event dates that belong to that name. There are links to the Event Name Info and Event Date Info Pages. Also see Event Organization.

Event Name Info

This is a description of the event name. For more information, see Event Organization and Event Names.

Event Type List

This is a listing of all event typess categories and event names that belong to that name. There are links to the Event Type Info and Event Date Info Pages. Also see Event Organization.

This is a listing of the event dates with links to the the Event Date Info Pages. Also see Event Organization.

Event Date Info

This is a description of the event date. For more information, see Event Organization and Event Dates.

You also use this page to signup for an event if it is in the signup stage. You can also enter a comment to go along with your signup. If you have already signed up, you can use this page to modify your comment or remove your signup. Note you must have succifient access to do this (see Access Levels).

If the event is a community service event (hours tracked) and it has been confirmed, this page will display the hours served by our members. Otherwise it will display only the participants in the event.

Event Statistics

This page shows the club event statistics. You can view statistics for a single month, or an entire Kiwanis Year (October to September). The events are listed by type. Note that the "Members Involved" totals are not strict totals. These numbers reflect the number of members that partipated in event type (or overall) for the specified time period.

This page can also be used to view a member's individual event statistics. When the page is used for this purpose, the "Members Involved" and "Cost" columns are removed. The member's account Level and Status are ignored in this state. This means you can view a guest's statistics or a member's event participation while they were inactive.

This page also contains the list of interclubs for that time period.

Event Statistics Summary

This page contains a summary of all service hours and attendance for the year. For more information, please see the Key at the bottom of the page.

Individual Hours List

This is a listing of all the individual hours entered into the database.

Individual Hours

This shows the details of a specific individual hours entry. If you have the access (see Access Levels), you can see which member performed these hours.
